Turning data protection into a shared responsibility

Overview 

Prince Regent Street Trust wanted to strengthen its safeguarding framework by improving how data breaches, Subject Access Requests (SARs), and Freedom of Information (FOI) requests were logged and managed across its schools. 

We spoke with the Trust’s Compliance Manager, who shared how GDPRiS helped embed data protection into daily leadership practice—making it part of the Trust’s safeguarding culture, not just a compliance requirement. 

Challenge 

Prior to GDPRiS, incident logging was cumbersome and inconsistent. New staff found existing systems difficult to navigate, which slowed response times and created compliance risks. 

Solution 

GDPRiS streamlined breach reporting and compliance tracking across the Trust. Key improvements included: 

RoPA and DPIA management: SLTs can now maintain Records of Processing Activities and Data Protection Impact Assessments with ease 

Mobile breach logging: Leaders log incidents during daily walkarounds using any device—aligning with KCSIE guidance 

SLT empowerment: Expanded access enabled every senior leader to take ownership of data protection tasks 

Safeguarding integration: GDPRiS became part of the Trust’s safeguarding culture, not just a compliance tool 

Implementation 

The rollout focused on accessibility and leadership engagement. SLTs were trained to use GDPRiS as part of their safeguarding responsibilities—embedding data protection into everyday practice. 

Impact 

• Breach reporting is now fast, consistent, and mobile-friendly
• Staff confidence in GDPR processes has increased
• Data protection is fully integrated into safeguarding workflows
